Planning a private dining event in Kuala Lumpur: what to confirm before you book

A private room can make a birthday, family celebration, corporate dinner or client meal feel more personal. Before you book, confirm the guest count, minimum spend, deposit, menu, dietary requirements, drinks policy, parking and the information the restaurant needs from you.

The quickest way to get a useful answer is to send a complete first enquiry. Include your preferred date and time, estimated number of guests, occasion and any important food or access requirements.

Start with the purpose of the event

A family birthday and a client dinner may have the same number of guests but need different things from the room. For a social celebration, you may care about whether children are welcome, how the seating can work and whether you can bring a cake or bottle. For a corporate dinner, privacy, arrival time, parking and a smooth service schedule may matter more.

Write down the purpose in one sentence. For example: "A seated birthday dinner for 18 adults and four children" or "A private client dinner for 12 people with a 7pm start."

Confirm the guest count and room fit

Give the restaurant a realistic estimate, even if final attendance is not confirmed. Ask for the seated capacity of the room, not only the maximum event capacity of the venue. A room that can technically hold a group may feel different once tables, service space and any cake or presentation setup are included.

Bella and Georgy has three private rooms and can consider events of up to 100 guests across the restaurant. The VIP room includes an ensuite toilet. Individual room capacities should be confirmed directly with the team.

For an ordinary table reservation, the maximum group size is 24 guests. Larger groups should enquire as a private event.

Understand minimum spend before comparing prices

A minimum spend is not necessarily a separate room-rental fee. It is the minimum amount the booking commits to spending, usually on food and drinks, for use of the room. Ask exactly what counts towards it and what happens if the final bill is below the agreed amount.

At Bella and Georgy, the normal private-room minimum spend is RM2,000 per room. The VIP private-room minimum spend is RM3,000 per room. A deposit equal to 30% of the applicable minimum spend is required.

This means 30% of RM2,000 is RM600, while 30% of RM3,000 is RM900. The deposit is deducted from the final bill. Confirm when the remaining balance is due and what cancellation or date-change terms apply.

Dividing the minimum spend by your expected guest count can help you understand the amount available per person. This is a planning calculation, not a quoted menu price. A RM2,000 minimum across 20 guests represents RM100 per expected guest before additional spending.

Ask how the menu will work

Private events can use different menu formats. Ask whether the menu is set, shared or ordered individually, which dishes are available, whether drinks count towards the minimum spend, when the final guest count is due, and how dietary requests are handled.

Bella and Georgy offers vegetarian options and can discuss allergy requests. The restaurant is pork-free, all meat is sourced from halal-certified suppliers, and alcohol is served. The restaurant itself is not described as halal-certified.

Clarify drinks and corkage

At Bella and Georgy, corkage is RM60 per bottle of wine and RM250 per bottle of liquor. Under the one-for-one arrangement, each bottle purchased from Bella and Georgy allows you to bring one bottle of your own wine or liquor without corkage.

Also confirm whether drinks purchased from the restaurant count towards the minimum spend.

Check timing, access and parking

Confirm when the room becomes available, when guests may arrive and when the event must finish. If you have a cake, gifts, presentation materials or decorations, ask when they can be brought in and whether restrictions apply.

Bella and Georgy has on-site parking at 35 Jalan Damai. If anyone has mobility or access requirements, tell the restaurant during the enquiry. The VIP room has an ensuite toilet, but other access needs should be confirmed directly.

Read the booking terms before paying

Before transferring a deposit, check the date, room, start and end time, minimum spend, deposit amount, payment deadline and cancellation or rescheduling terms in writing.

Frequently asked questions

How far ahead should I book?

Availability depends on the room and date. Enquire as soon as you know your preferred date, especially for weekends or celebrations. Bella and Georgy does not state a fixed booking lead time, so availability should be checked on WhatsApp.

Is a minimum spend the same as a room-rental fee?

Not always. A minimum spend is usually an agreed amount spent on food and drinks, while a room-rental fee is a separate charge for the space. Ask what counts towards the minimum and whether any additional room fee applies.

Can children attend a private event?

Yes, children are welcome. Include children in the total guest count and mention any seating or timing needs when enquiring.

Can the restaurant handle vegetarian or allergy requests?

Vegetarian options and allergy requests are available for discussion. Give the team the details before confirming the menu so the kitchen can advise what may be suitable.

Can I bring my own wine or liquor?

Yes, subject to the restaurant's corkage terms. The charges are RM60 per bottle of wine and RM250 per bottle of liquor. Under the one-for-one arrangement, each bottle purchased from Bella and Georgy allows you to bring one bottle of your own wine or liquor without corkage.
